Job Summary

The Admin Officer will work closely with and report to the Senior Ministry Associate/Resident Pastor of the local expression for the effective management of day-to-day administrative matters and secretariat functions. The role also owns and coordinates the local assimilation function - welcoming, following up and progressing first-time guests along the Growth Track (from the community to the core) so that the “back door” of the church is closed - working through and supporting the assimilation volunteer team(s). In addition, the role provides administrative support to the Office of the Director of Global Ministry (a role held by the Resident Pastor), covering the 0700-ELEVATE line, central correspondence and Family Life administration.

Office Administration & Management
  • Oversee and manage daily administrative processes and tasks relating to the local expression.
  • Administer vendor and service contracts, including the HMO contract (e.g. St Kizito) — receive invoices and ensure they are processed within agreed timelines.
  • Provide administrative support to ministers (purpose heads and area coordinators) to facilitate execution of yearly, quarterly and monthly goals.
  • Oversee all general office operations including workspace & meeting rooms management, mailing system, office supplies, office policies in collaboration with HR, visitor management etc.
Church Secretariat & Administration
  • Work with the Data Management team to analyse operational data from services and events and advise the RP for proper planning and growth.
  • Manage all correspondence and screen mails relating to the expression and the office of the RP.
  • Track execution of yearly strategic plans and produce quarterly progress reports; coordinate allocation of materials, resources and personnel under the direction of the RP.
Assimilation Coordination & Guest Experience
  • Own the local assimilation system: ensure every first-time guest receives a welcome email and SMS within the agreed service level (e.g. 24–48 hours).
  • Support, guide and monitor the assimilation volunteer team(s) to ensure they carry out follow-up in line with agreed SLAs, and act as the escalation/backstop point.
  • Personally make follow-up calls to guests not reached by volunteers (typically 20–30% of weekly first-time guests), logging outcomes, to drive progression along the Growth Track and close the back door.
  • Manage correspondence for congregants who sign up for baby dedication.
  • Ensure prompt, accurate data capture across assimilation touch-points.
Global Ministry Support (Office of the Director of Global Ministry)
  • Manage the 0700-ELEVATE line: receive calls and ensure enquiries are closed out within the agreed service level.
  • Manage correspondence from the [email protected] email.
  • Serve as the designated Church Office support personnel for the Marriage Preparatory Course (TECMPC), managing all correspondence via the [email protected] church-domain email (not a personal account).
  • Collate pre-registration lists from the various expressions ahead of each cohort induction.
  • Communicate with facilitators, circulate schedules and send reminders throughout the 12-week course.
  • Issue certificates to graduating couples promptly on completion, and maintain accurate course and graduate records.
  • Provide wider administrative support for Family Life initiatives as required.
Ministry Team & Project Support
  • Work with the Project Committee to manage projects and special ministry initiatives requiring administrative and operational support from the church office.
  • Support ad hoc call initiatives for meetings and other follow-ups as required.
Other Duties
  • Such other tasks as may be assigned by the Resident Pastor from time to time.

Requirements

Educational Qualification
  • A university degree from an accredited university.
Relevant Experience & Competencies
  • 3–5 years’ relevant experience in administration, operations or coordination (experience in a faith-based organisation is an added advantage).
  • An understanding of ministry.
  • Strong organisational and project-management skills; strong process, execution and operational skills.
  • Ability to coordinate, support and lead volunteer teams; warm and confident people skills, including a strong telephone manner for guest follow-up.
  • Data management, reporting and analytical skills; proficiency in Microsoft Office, Google and CRM / assimilation software.
  • Ability to influence in a matrix environment and act as an agent of change.
  • Confidence presenting to high-level audiences.
